Workspace settings

1 Open Settings → Workspace

Click Settings in the sidebar. The Workspace tab is open by default.

2 Update workspace name

Enter your firm name in Workspace Name. This name appears on invoice PDFs, in invitation messages, and in case-share notifications sent to people outside your firm. Click Save.

Inviting team members

NyayX invites members by mobile number. Type the 10-digit Indian mobile number (a +91 prefix is shown next to the field) and pick a role. If the number already has a NyayX account, they get an in-app invitation. If it doesn’t, NyayX generates a one-time invite link you can share on WhatsApp.

The sidebar Team entry now opens Settings → Members - this is the same page described below. On a bare solo workspace (one seat, no add-ons), the Members, Permission Templates and Activity tabs stay hidden since there’s no one to manage yet. They appear automatically the moment you switch to a Firm workspace or buy an extra seat.

The four roles

Team LeaderFull case work plus adding/removing members. Read-only on finances. Cannot change roles or edit workspace settings.
JuniorView and edit only the case work assigned to them. No finances, no billing, no member management. Their tabs default to View rather than Edit - a Junior can never be given delete access.

These four names are also exactly what you’ll see in the invite-role dropdown and on each member’s role badge. They come with default tab permissions (see Tab permissions for the full grid), which the owner can tweak per-role or per-member at any time.

Owner is your account. It has every permission on every tab, cannot be restricted, and is the only account that can transfer ownership or delete the workspace.

Invite Templates: friendly presets for common law-firm roles

Below the invite form, the Members tab shows an Invite Templates panel. This is a separate, optional layer on top of the four roles above: a saved bundle of { name, role, feature permissions } that you can apply from the invite-role dropdown to skip re-configuring tab access every time you bring on the same kind of person.

NyayX ships six ready-made Delhi Law Chamber presets you can start from and rename as your own:

Click Apply Preset to pre-fill the New Template form, adjust the name or feature grid if you want, and Save Template. Saved templates then show up in the invite form’s template dropdown so anyone with invite rights can reuse them.

Sending an invite

1 Open Settings → Members

Click Settings in the sidebar, then select Members.

2 Click Invite Member

The invite form expands inline at the top of the Members panel.

3 Enter the mobile number and choose a role

Type the 10-digit mobile number next to the +91 prefix. Pick a role (Admin, Senior Lawyer, Team Leader or Junior) from the dropdown.

Optionally pick a saved Invite Template instead - this fills in the role and a pre-configured permission bundle in one click.

If you’re an admin of more than one workspace, an Add to workspaces checklist appears so you can invite the same person into several workspaces at once.

4 Send the invite

Click Send Invite.

  • If the number has a NyayX account - an invite notification is sent; the person appears in the Members table with a pending status dot.
  • If no account is found - a one-time invite link is generated (valid for 7 days). You can copy it or send it on WhatsApp yourself. The link auto-joins them to the workspace once they sign up. Pending links also appear under Pending Invites at the bottom of the Members panel, where you can copy or revoke them at any time.

Managing existing members

The Members table lists every member with a status indicator:

  • Accepted (green) - joined and active
  • Pending (amber) - invited but hasn’t accepted yet
  • Rejected (red) - turned the invitation down
  • Expired (grey) - invitation timed out (invites expire after 7 days)

For each non-owner member you can:

  • Permissions - opens an inline panel of fine-grained action toggles, grouped as Cases, Documents, Notes, Members, Workspace, Hearings and Tasks (e.g. Delete cases, Assign cases, Change member roles, Edit member permissions). This is separate from tab visibility - see Tab permissions.
  • Tab access - opens a drawer to change which sidebar tabs this specific member can see (Hidden / View / Edit), overriding the role’s default. Apply a quick preset or set each tab individually.
  • Change role - drops the member’s current tab permissions and re-applies the new role’s default template. Any per-member overrides are reset.
  • Remove (the trash/cross icon) - for accepted members this revokes their access immediately. For pending members the same button acts as Revoke invitation - the invite is cancelled and the seat is released right away. They can be re-invited later.

Only the owner can change roles or edit a member’s permissions. Owners and Admins can both invite and remove members.

Invite links for people who haven’t signed up yet appear in the Pending Invites section at the bottom of the Members panel. Each row shows the mobile hint, role, and expiry date (7 days from creation). Two actions are available:

  • Copy link - copies the invite URL to your clipboard.
  • Revoke - cancels the link immediately. Anyone who clicks it after revocation sees an “invite no longer valid” error.

The workspace owner cannot be removed or restricted. To change owner, use Transfer ownership.

Working in another firm’s workspace

If you are a member of someone else’s paid workspace and your own personal plan expires:

  • Your work in their workspace continues uninterrupted - your seat is covered by the workspace owner’s subscription, not your own.
  • A banner appears on your own (expired) workspace explaining the situation and offering a quick switch.
  • On your next login, NyayX automatically lands you in the healthiest workspace (the one with an active subscription).

Seat limits

Your plan determines how many members the workspace can hold (baseMembers from your plan, plus any add-on seats you’ve purchased - shown together as maxMembers). The Members header shows seats used - for example 1/2 seats. Sending an invite (even before it’s accepted) counts toward this number, so the Invite button switches to a Seat Limit Reached prompt pointing you to Billing once you’re full.
